1. What Regardful provides
Regardful provides written public image exposure reviews. The first service line is public pupil-image exposure reviews for school websites.
The service is designed to identify public website items that may deserve review, retention action or removal by the customer's authorised decision-makers.
2. Authorisation-first rule
Regardful does not review a named school website before written authorisation. The customer must confirm the authorised domain, public scope, contact person, exclusions and any special instructions before work starts.
3. Written-only service
The service is delivered by email and written documents. Calls, video meetings and site visits are not part of the standard service.
4. What the output is
- Exposure Snapshot: a limited authorised review with a short written summary and selected review priorities.
- Full Exposure Audit: a wider authorised review with an executive summary, prioritised findings, source references, reason for review, recommended actions and remediation tracker.
- Annual Monitoring: scheduled authorised rechecks after a completed full audit.
5. What the output is not
- Not legal advice.
- Not a safeguarding investigation.
- Not a compliance certificate.
- Not confirmation that every relevant image or page has been found.
- Not a replacement for the school's own governance, safeguarding, data protection or publication decisions.
6. Customer responsibilities
- Confirm that the person ordering the review is authorised to instruct Regardful.
- Decide and document the lawful basis and any internal approval required for the review.
- Provide accurate scope, exclusions and contact details.
- Review the report and decide what action to take.
- Route any safeguarding concern to the school's own safeguarding lead or appropriate internal process.
7. Regardful responsibilities
- Review only the agreed public website scope.
- Not bypass logins, private areas or technical access restrictions.
- Not use facial recognition, child identification, face matching, biometric templates or sensitive-trait inference.
- Keep working records proportionate to the service.
- Deliver findings as review priorities for the customer's authorised decision-makers.
8. Data processing terms
For authorised review material, the customer is responsible for the purpose, scope, lawful basis and final decisions. Regardful processes the material under the customer's written instructions.
Regardful will keep review material confidential, use appropriate technical and organisational measures, use service providers only where needed for delivery or administration, assist with reasonable customer requests connected to the review, and delete or return audit working records in line with the agreed retention position.
9. Fees and payment
Fees shown on the website are current standard fees unless Regardful confirms a different written quote. Full audits and monitoring are payable before work starts unless otherwise agreed in writing. Any applicable taxes or payment charges will be shown where relevant.
10. Timing
Delivery timing depends on the agreed scope, website size, customer response time and current workload. Regardful will confirm an expected delivery window in writing.
11. Cancellation
A customer may cancel before work starts. If work has already started, Regardful may charge for work already completed or committed. Free Exposure Snapshots do not create a charge.
12. Liability
Regardful aims to provide a careful, professional written review, but no website review can guarantee discovery of every item. Nothing in these terms excludes liability that cannot legally be excluded.
13. Governing law
These terms are intended for services supplied from England and Wales and are governed by the law of England and Wales, unless otherwise required by law.
